Move or copy mail from one Gmail account to another

Have you or your company name changed? Just want a new Gmail account but don’t want to miss out on emails? No problem. You can move all your mail from one Gmail account to another. Although your Gmail address is immovable, you can set up a new Gmail account and take your mail with you.

Change Gmail addresses and take your mail with you

There are two ways to direct your old mail to a new account. You can manually move messages in an email program, preserving your label settings, or let Gmail copy messages for you without labels, but that’s still fine.

Move or copy mail from one Gmail account to another (using only Gmail)

First, make sure that any email programs or services that you’ve set up to download mail from your old Gmail account using POP are either closed or set not to automatically check mail.

Next, to move (or copy) all received and sent emails from one Gmail account to another Gmail account by having the new Gmail account fetch the messages:

  1. In your Gmail account, click the Settings gear icon ( ⚙️ ) in the accounts toolbar.

  3. Click the Forwarding and POP/IMAP tab.
  4. In the POP Download section , select Enable POP for all mail (including mail that has already been downloaded) as the Status.Gmail settings in Chrome browser showing Enable POP for all mail options

    You don’t need to move the messages to the old account’s inbox for the new account to pick them up. Archived mail will be automatically retrieved and copied to the new account.

  5. When accessing messages with POP , select archive the Gmail copy from the drop-down menu to clear your old account’s inbox; select delete Gmail copy to move the mail instead of copying it. You can also select Keep the Gmail copy in Inbox to do nothing with the original message once forwarded, or to mark the Gmail copy as read and leave the original email in the Inbox and mark it as read for you can know what has been forwarded and what has not.If you want to keep some messages in the old account, they will be available in the Trash tab for 30 days.
  6. Click Save Changes .
  7. You should now have all your old emails.

We are done with the account to import the messages from. Continue with the new Gmail account:

  1. Once you’ve signed in to your account, click the Settings gear icon ( ⚙️ ).
  2. Select Settings from the menu.
  3. 1. Go to the Accounts and Import tab.

  5. Enter the email address of the Gmail account you want to import from in Email address .

  7. Make sure Import emails from my other account (POP3) is selected.

  9. Check that the desired Gmail account username is entered correctly in Username.
  10. Type the password of the Gmail account you’re importing from in Password .If you’ve enabled two-step authentication for your old Gmail account, create and use a Gmail app password instead.
  11. Select pop.gmail.com under POP Server .
  12. Select 995 in Port:
  13. Check Leave a copy of retrieved messages on the server is NOT checked.
  14. Verify Always use a secure connection (SSL) when retrieving mail . Options : Select Label incoming messages and choose the label corresponding to the email address of the old Gmail account, an existing label, or New label for a new label. Select Archive incoming messages (Skip Inbox) so that imported messages don’t appear (or clutter) your new Gmail account’s inbox.
  15. Click Add Account . Important : If you see an access error, you have two options:With 2-step authentication specially enabled, you may have to authorize Gmail to sign in on its own.

    If you don’t have two-step authentication turned on, make sure “less secure” apps can access Gmail.

  16. Select Yes, I want to be able to send mail as [email protected] under Do you also want to be able to send mail as [email protected]? Why say “Yes” here: Setting the old address as the sending address in the new account allows Gmail to recognize sent messages and place them in the Sent Mail label .

    Can I say “No”? You can choose No , of course; you can always add your old address as a shipping address later.

    If you select No, click Finish Immediately and skip the next steps that add the old address to the new account.

  17. The task should be complete.

To make sure the new Gmail account recognizes your old Gmail address as one of yours, and is available for sending:

  1. Following Yes, I want to be able to send mail as [email protected] , click Next Step « .
  2. Enter your name under Name:
